Supply Chain · Goods Receipt
A goods receipt note is where a purchase order turns into stock. The Final ERP receives against the PO line, inspects, captures lot and serial, and asks for the supplier invoice and e-way bill before the gate opens. The movement it posts is the only source of stock on hand.
In the product these pages live under Operations, in the Inventory and Stock section. An Operations page is coming. The story is told here because the receipt is the buyer's last step: it closes the PO line and opens the invoice match.
Five steps, each one a page under Operations, each one posting to the same ledger.
Expect it
An inbound expectation (ASN) records what the vendor says is on the way. For vendor-held stock, the partner confirms receipt and the GRN posts in your books.
Receive against the PO line
Pick the PO, pick the lines. Each line lands in the destination warehouse set on the PO. Quantity received is pegged to the line.
Inspect and capture
Inspection result, lot number and serials captured on the receipt. Rejected quantity does not enter stock.
Gate documents
Supplier invoice and e-way bill in separate mandatory slots, with invoice number, date and vehicle number. Extra documents as typed attachments.
Post and move on
The GRN is auto-numbered and posts a RECEIPT movement. Stock on hand updates, the invoice can match, and issues or transfers can draw on it.
Receipts, issues and transfers are documents. Stock on hand is projected from the movements they post.
Receive goods into stock with inspection and lot capture. Every GRN references a PO line unless the policy says otherwise, and subcontract receipts are exempt. The number is assigned by the server; the destination warehouse comes from the PO line.
With requireGrnGateDocuments on, the supplier invoice and the e-way bill are two separate mandatory slots. Invoice number, invoice date and vehicle number sit beside them. Anything else, a weighbridge slip or a test certificate, goes in as a typed optional attachment, and the server enforces the rule.
Store issue slips that record stock issued to a project, department or crew. Each line posts an ISSUE movement, so consumption shows in the ledger the moment the slip is saved.
Move stock between warehouses. A transfer slip posts TRANSFER_OUT at the source and TRANSFER_IN at the destination. It is relocation only; nothing is consumed and the total on hand does not change.
Stock on hand is projected from the movement ledger, never stored as a separate number. Ageing buckets current on-hand by how long it has sat. Lot and serial provenance traces any unit back to the GRN it arrived on.
Receiving has its own vocabulary on every site; the documents behind the labels are the same.
